Executive Administrative Assistant
Provide advanced secretarial and administrative support to our senior management.
We are looking for a full time Executive Administrative Assistant to provide advanced secretarial and administrative support to our senior management. Using technical and business vocabulary and with a detailed knowledge of our organisation’s operations, procedures, and personnel, your role is instrumental in supporting two members of our executive team (the President, International and the VP International Human Resources) to be their most productive.
In this dynamic role, you will make independent decisions regarding planning, organizing and scheduling work, all within established guidelines. You will collect, compile and analyse relatively complex data and information and compose straightforward written descriptions/summaries of the results.
How can you help us?
- Provide professional, accurate, and timely support, contributing to executive, team and departmental objectives.
- Manage the calendars for the President, International and VP International Human Resources.
- Manage and coordinate heavy travel schedules for executive including international travel.
- Compose and proofread letters and documents.
- Coordinate meetings and conference calls, including venues, transportation, food, materials preparation and meeting notes transcription.
- Exercise discretion and independent judgment in analyzing and summarizing complex information requests/reports and determining complex trends.
- Assist at Executive meetings as requested or needed.
Are you our match
- At least 6 years’ experience of personal/executive assistance experience, with at least 4 years supporting the highest level of management in an organisation.
- Intermediate level skills in Microsoft Outlook.
- Intermediate level skills in Microsoft Excel (for example: using SUM function, setting borders, setting column width, inserting charts, using text wrap, sorting, setting headers and footers and/or print scaling).
- Intermediate level skills in Microsoft PowerPoint (for example: applying a theme, formatting character spacing, inserting a picture, changing slide layout and theme colors, adding transitions, customizing slide numbers, changing chart style and/or formatting font for consistency)
- Intermediate level skills in Microsoft Word (for example: inserting headers, page breaks, page numbers and tables and/or adjusting table columns).
- Excellent communication skills.
- Excellent command of the English language (advanced skills, both spoken and written).
- Hands-on mentality.
- Available for 5 days (40 hours) per week with a minimum of 2 days working from our European Headquarters in Arnhem.
