Office Manager / Executive Assistant

Purpose
We are looking for an Office Manager/Executive Assistant to support to our executive team and oversee the effective management of our European headquarters in Arnhem. Your primary focus will be on ensuring that the facilities and working conditions align with the highest standards, fostering a conducive environment for the productivity and well-being of our office staff. This position not only showcases Medline’s core values to visitors and customers but also involves handling some administrative HR tasks.
How can you help us?
You will be the first point of contact for employees and visitors at the front desk. Further responsibilities are to:
- Manage and organise executive calendars and coordinating travel arrangements
- Manage the expense process for senior management
- Organise office operations and procedures
- Answer phone calls and general office questions
- Receive and send mail and packages
- Promote and enforce office policies, processes and procedures
- Coordinate meeting room and carpool calendars
- Maintain effective office facilities; order kitchen essentials, coffee/tea, etc.
- Negotiate and supervise contracts with external parties, such as the cleaning company and other suppliers.
- Ensure clean spaces, including offices, kitchens and meeting rooms
- Prepare, organise and coordinate meetings
- Welcome guests, arrange lunches, make reservations, organise annual Christmas dinners, arrange team-building events, assist the coordination of activities.
