Purpose
Medline continues to expand its business through strategic acquisitions, supplementing an already extensive reach across Europe, Middle East & Africa (EMEA). For this reason, the Marketing and Communications team is looking for a Junior Events Coordinator. In this role, you will be responsible for planning, coordinating, and executing events from start to finish.
Activities and Responsibilities
Event planning & coordination
- Be responsible for planning, coordinating and executing events of different sizes and with varying audiences, from start to finish (e.g. annual sales event for Europe and distributor meetings);
- Manage all events-related operations including registration, agenda planning, travel coordination, ground transportation, and venue communication;
- Be in charge of all forms of communications (before, during and after) that are related the event;
- Serve as the main point of contact for the event, as well as define and manage how information will be collected, processed and disseminated;
- Attend meetings in person across the EMEA region as needed.
Industry Events
- Plan and oversee industry events, including trade shows, conferences;
- Manage event logistics and coordinate with internal teams, vendors, and stakeholders to ensure smooth execution;
- Analyse event success and provide post-event reports;
- Advise on a strategy to increase leads and customer retention;
- Advise on local trade shows with layout and design;
Vendor and stakeholder management
- Negotiate contracts with vendors on Medline’s behalf, with full understanding of related policies and protocols;
- Collaborate with internal stakeholders (e.g. legal and compliance, other marketing teams etc.) as is necessary;
- Liaise with external vendors like photographers, audiovisual creatives, etc.;
- Manage timelines to ensure event deliverables are on time;
- Plan all events with attention to financial constraints and budgets;
- Establish and maintain relationships with vendors, venues and collaborators (internal or external).
Evaluation
- Explore and implement ways to improve meetings and present new ideas/innovations effectively;
- Conduct post-event follow-ups, evaluations, and evaluate/tend to relationships with vendors and sponsors.
Job Requirements
- Bachelor's degree in Event Management, Hospitality, Business, or a related field — or equivalent professional experience
- Minimum of 2 years' experience in meeting and event planning or hospitality management
- Fluency in English is required; professional proficiency in at least one additional European language (such as Spanish, French, German, Dutch, Italian, or Slovak) is preferred
- Experience working in an international and/or multicultural environment
- Willingness and ability to travel as required
- Strong problem-solving, organizational, interpersonal and communication skills
- Highly detail-oriented and able to prioritize tasks and manage multiple projects, and meet deadlines
- Proven skills in budget and time management
- Ability to work both independently and collaboratively, with colleagues and stakeholders at all levels - internal or external
- Comfortable and confident interacting with individuals across all levels of an organization
